DEFINITIONS

YOU: CLIENT, BOOKER, AGENT


BOOKINGS

We accept bookings made online through our website, email, and telephone. When you book with us you will receive a Booking Acknowledgement email for the journey(s) you have booked and paid for. It is your responsibility to check that the details supplied to us are correct. You will receive a 'Journey Details' email when the journey has been assigned to a driver. This will contain the pickup instructions and the driver's telephone number.

Reservations made for service on the following timings and dates will be subject to an additional 50% surcharge on published prices: 18:00 24th December to 23:59 26th December, 18:00 31st December to 23:59 1st January. Other days may also be affected.


LUGGAGE

Transport For London (TFL) and regional council regulations require all luggage to be securely fastened in the boot of the vehicle. Please ensure to take this into account when choosing a vehicle class. Our Chauffeurs will under no circumstance allow luggage to be stored inside the vehicle (passenger seating area). If you have excess luggage, we will either arrange another vehicle for an additional cost or the client may arrange an alternate vehicle at their own expense.


ANIMALS TRANSPORT

BookOxfordChauffeurService reserves the right to refuse carriage of animals which were not explicitly agreed upon at the point of booking. All animals must be secured in a suitable transport box/crate. By law, we must accept guide dogs or service animals for the visually impaired or any other disability that requires the operational use of dogs. The exact route of your journey is down to the driver's discretion on the day of travel; alternate routes may be requested and will be assessed by the driver on a case-by-case basis.


JOURNEY

Please ensure you supply us with your correct incoming flight details, arrival terminal codes, and landing day into the UK and not your departing information, unless you have booked a separate return journey. BookOxfordChauffeurService does not accept any responsibility or liability for missed flights due to external variables such as traffic delays, highway accidents, mechanical breakdowns, severe weather conditions, or any unforeseen circumstances. We always advise clients to allocate adequate traveling time when booking their pickup time; this advice is under no circumstance to be understood as a contract guarantee of traveling time to the airport terminal portals.

Below is the estimated minimum traveling time to:

  • From Central London to Heathrow: 60 minutes
  • From Central London to Gatwick: 90 minutes
  • From Central London to Stansted & Luton Airport: 90 minutes
  • From Central London to City Airport: 45 minutes

WAITING TIMES AND CHARGES

Airport Pickups:

Your driver will track your flight for terminal delays or early landings and be present at arrivals 30 minutes after actual touchdown. Included in your transfer fee is a complimentary 60 minutes of waiting time. In total, you have 90 minutes of non-chargeable buffer waiting, after which additional operational waiting rates will apply:

  • Mercedes E-Class (Executive Saloon): £5.00 for every 10 minutes
  • Mercedes S-Class / BMW i7 (VIP Saloon): £10.00 for every 10 minutes
  • Mercedes V-Class (VIP MPV): £10.00 for every 10 minutes

If you request a specific pickup time instead of landing sync, there will only be 60 minutes of free waiting, commencing exactly from your specified requested pickup time window.

Train Station Hubs:

Complimentary waiting of up to 20 minutes, £10 thereafter for every additional 20-minute block.

Hotels / Restaurants / Residential / Corporate Addresses:

Complimentary waiting of up to 20 minutes, £10 thereafter for every additional 20-minute block.

BookOxfordChauffeurService utilizes its own premium fleet operations wherever possible but reserves the right to engage fully licensed third-party affiliates where appropriate. We also reserve the right to provide an upgraded vehicle tier if your chosen fleet class is suddenly unavailable on-site.


PAYMENTS

BookOxfordChauffeurService accepts secure card payments directly through our web interface portal or secure generated payment links and direct bank transfers. We do not register or save your card numbers or sensitive payment metadata. For any additional auxiliary balances owed, we will send a custom checkout payment link to your mobile number or email. We also support cash routing options; however, if the booking total exceeds £50, a full securing payment via card will be required upfront.


CANCELLATIONS & REFUNDS

BookOxfordChauffeurService will accept any journey cancellation free of charge as long as a minimum of 24 hours' notice is provided. All cancellation requests must be filed formally via our email channel: contact@bookoxfordchauffeurservice.com, to which you will receive an automated validation receipt. If you do not receive an email response confirming your cancellation within 1 hour, please call our operational desk line immediately at 02037971279.

We will not issue refunds under the following conditions:

  • If the passenger does not show up at the terminal interface for pre-paid journeys (No-Show).
  • If the cancellation request is submitted less than 24 hours prior to the scheduled journey time.
  • All other exceptional circumstances must be raised directly with our customer support desk for manual case assessments.

COMPLAINTS

Any complaints regarding ground transport execution must be raised formally in writing to our management desk, preferably by replying directly to your original booking confirmation thread. All inquiries must be logged within 30 days of the travel event.
